Job Purpose: Provides robust support on the execution of Fleet Management activities acting as focal point and team player for assigned streams / business units, demographic locations by (1) Handling / processing and oversee all travel arrangement operations assigned, (2) Participate in developing an online travel tool that mainly depend on new technology to provide our customer with the ability to manage their travel requests smoothly, and (3) Manage relationships with travel agencies, Rental car companies and vendors; in order to ensure compliance in all aspects of travel services procedures to support PT&C and OQ RPI with the business continuity of its operations.
The position will act in accordance with the Group’s Mission, Vision, Values & Strategies, as well as, policies, guidelines, and standards, supported by an IT Technology platform, HSE standards, Omani’s government & other legal justifications applicable, and best international practices in consonance with national objectives.
Main Tasks and Responsibilities:
Process all Travel request received from travelers within agreed SLA. Ensure compliance in all aspects of travel & Fleet procedures. Participate in developing an online travel tool that depend on innovative technology to provide our customer with the ability to manage their travel requests smoothly. Adhere to HSE protocols and procedures. Monitoring, Controlling and Managing travel contracts and make sure the implementation as per OQ policy. Regularly maintain a good relationship with our customers. Arrangement all travel requirements and support to expediting of other services related to travel, as necessary. Handle and oversee all fleet arrangements and operations. Arrange all transportation requirements as per assigned location and support to expedite other services related to the journey (documents, etc.) Execute strategic policies and programs for OQ fleet management. Coordinate all relationships with customers, rental car companies and vendors. Escalate contracts or rates with vendors if required. Ensure compliance in all aspects of travel & Fleet procedures. Management of the requests received from all OQs department and timely supply of them. Plan and organize the maintenance of all vehicles, ensuring that service and inspection intervals are adhered. Producing periodic reports related to fleet services as required by line manager. Management of all its journeys while performing any of the task such vehicle delivery, maintenance, registration of vehicle in ROP and renewal. Assuring the understanding of the companies’ concession driving requirements. Ability to network with all Company operating units smoothly and coordinate all departments. Coordinate the maintenance of all vehicles, ensuring that service and inspection intervals are adhered / Vehicle routine inspection. Adhere to HSE protocols and procedures. Support the integration program as needed. Monitoring, Controlling and Managing fleet contracts and make sure the implementation as per OQ policy. Regularly maintain a good relationship with our customers. Monitoring driver behavior and ensuring a prominent level of customer service. Maintaining good relationship with customers Process and reconcile all travel-related financial transactions, including payment processing, expense reports, and vendor invoicing, ensuring strict adherence to the company's financial policies and procedures. Develop, prepare, and present comprehensive travel reports (periodic and ad-hoc) on key metrics such as expenditure, compliance, and savings achieved, providing strategic insights for future decision-making. Manage the end-to-end execution of local and international events, including developing detailed event plans and overseeing logistics to ensure successful delivery in line with business objectives. Negotiating competitive rates and service agreements with key travel suppliers (e.g., airlines, hotels, travel management companies, car rental agencies). Continuously analyzing travel data to identify opportunities for expense optimization and enhanced traveler experience while maintaining policy compliance.
Key Interactions Internal: Assurance, Finance, Commercial | Downstream | Upstream, PTC, A.E., TO, Legal External: Vendors, Contractors, Ministry of Labor, Consulates, Notable Working Conditions: Office environment, intensive computer screen use, sporadic visits to operation site. Education Requirements: Diploma or bachelor’s degree in business administration, HR, or related disciplines. Language: Exceptional knowledge of written, read, and spoken English (required) | Arabic - Native (desirable)

5+ years of relevant experience Relevant experience in similar role within the Oil & Gas Industry standards. Strong experience in fleet arrangements and operations. |
